a normal team budget line, not a personal cost

Being team treasurer shouldn't cost you your weekends.
You volunteered to help — not to wrestle a spreadsheet at midnight, chase parents for e-transfers, and dread the year-end meeting.
RosterLedger takes the whole job off your plate, so you can get back to enjoying the season with your family.
Chasing payments
Who's paid? Who's behind? Most treasurers track it in their head — until something slips and a parent's upset.
Counting cash
Cash to refs and timekeepers, sponsor cheques, reimbursements — it all has to add up, and one mistake erodes trust.
The year-end statement
Pulling together a report nobody can argue with usually means a weekend of spreadsheet gymnastics. There's a better way.
For the treasurer
Everything you need, in one place.
The shoebox of receipts, the spreadsheet, the sticky notes — all replaced by one calm, guided app.
Guided setup — no formulas
Answer plain questions about your team and your budget builds itself, line by line, ending on a balanced season.
Payment tracking + auto-reminders
See who's paid, who's behind, and who's overdue — then let RosterLedger automatically nudge overdue families for you. No more awkward chasing.
Game-day cash log
Record the cash paid to referees and timekeepers each game, so every dollar of cash is accounted for.
Bank reconciliation
Tick off the items that cleared and instantly know your books match the bank — no more guessing.
One-click reports
Parent statements, budget-vs-actual, and the year-end financial statement — generated and ready to print or email.
Receipts, filed for you
Snap a photo of any receipt or invoice. It's auto-named, filed in secure cloud storage, and audit-ready.
Parents always in the loop
Turn on automatic monthly or quarterly updates and every family gets a clear finances snapshot — with zero effort from you.
Built-in trust
Every change is saved to a permanent record that can't be edited or deleted — and you can require a second person to approve any spending.
For the team & parents
Trust, built into the books.
When the money is clear, the whole team relaxes. RosterLedger turns your finances into something parents are glad to see.
Total transparency
Parents can see exactly where their fees go — and get automatic finance updates, so trust is built in, not asked for.
Clean statements
Every family gets a tidy, itemized statement. No disputes, no awkward texts.
Fair year-end refunds
Any surplus is split evenly across families and calculated for you, to the cent.
Audit-ready, always
Every payment, cash handout, and receipt is on a permanent record that can't be edited or deleted — any parent, board, or auditor could check the books.

What is RosterLedger?
RosterLedger is web software that helps the volunteer treasurer of a youth sports team manage the team's money. It builds your season budget from a few plain-language questions, tracks every parent payment and cash transaction, reconciles to your bank account, and produces every report you need — all without a spreadsheet.
Who is it for?
It's built for the parent volunteer who gets handed the team's finances — a soccer, hockey, basketball, cricket, netball, baseball, or any youth-sport team treasurer, anywhere from Canada to the UK to Australia. If you're tracking fees, sponsorships, referee and official cash, and trying to keep parents happy, RosterLedger is for you.
Do I need accounting or bookkeeping knowledge?
No. That's the whole point. You enter plain facts — names, amounts, what something was for — and RosterLedger does all the math, splitting, and reconciling. If a screen ever asked you to do arithmetic, we'd consider it a bug.
How much does it cost?
$79 for the full season. Spread across a typical roster of about 17 families, that's roughly $5 per family — a normal, parent-approved team budget line, not a personal expense. There are no per-transaction fees.
Is there a free trial?
Yes. You can set up your team and see your whole budget for free before you pay anything. You only subscribe when you're ready to run the season.
Is my team's financial information private and secure?
Yes. Your books are stored securely in the cloud, in a Canadian data region, and locked to your account — only you can see your team's data. Receipts you upload are kept in private storage that only your team can open.
Can I cancel anytime?
Yes. You're never locked in, and your data is always yours — you can export your records to CSV whenever you like.
What happens next season when a new treasurer takes over?
RosterLedger is built for exactly that. The account belongs to the team, not the person, so the outgoing treasurer can hand it off to the next one — who inherits a clean, reconciled set of books instead of a shoebox of receipts.
